Job Summary
We are seeking an eager and organised Executive Assistant to join our growing talent/booking agency. In this position, you will be expected to assist the Director / Booking Agent with their day-to-day administrative requirements, and, continue to develop and document the operational systems and processes that ensure the agency and bookings run smoothly. This role is part-time (3 days per week, Tues/Wed/Thurs) based in our Surry Hills office.
Work Listing:
- Manage and organize the Director’s inbox and calendar.
- Assist the Director with administrative tasks related to their Booking Agent role; including
o facilitating ticketing/announce setup,
o researching and collating support act options to a brief,
o complete forms and review contract terms,
o researching and compiling required information, contacts and documents.
- Provide a conduit for swift communications between all relevant parties for confirmed artist bookings.
- Drafting and posting/scheduling social media posts as directed.
- Generate and send twice-weekly Ticket Reports.
- Office management tasks including; running meetings and taking minutes, ensuring that records/databases are kept up-to-date, restocking office supplies, etc.
- Document processes for repeatable results, and create a pathway for further career growth opportunities.
Intern Requirements and Qualifications
- Experience in the entertainment industry, or as an assistant in an adjacent sales-business, not required but highly regarded.
- Proficient computer skills, ideally including experience working with Google Workspace (Docs, Sheets, Drive), Xero, Notion and/or Slack.
- A high level of attention-to-detail and an ability to identify, follow and improve upon processes.
- Excellent written and verbal communication skills.
- Self-directed and able to work without supervision.
- Energetic and eager to tackle new projects and ideas.
