Role Responsibilities – Production
This aspect of the role focuses on assisting the event production team in bringing events to life, from conceptualisation to execution.
- Event Research and Sourcing:
- Assisting with researching venues, suppliers (catering, AV, entertainment, florists, etc.), and event concepts.
- Obtaining quotes and compiling comparative information for review by event managers.
- Identifying potential new suppliers and maintaining a robust supplier database.
- Maintaining and updating internal databases and contact lists (clients, suppliers, venues, freelancers).
- Logistics and Coordination Assistance:
- Supporting the creation and management of event timelines, run sheets, and production schedules.
- Assisting with booking and confirming venue details, supplier services, and equipment.
- Coordinating deliveries and collections of event materials and equipment.
- Preparing and collating event kits, delegate packs, and signage.
- On-site Event Support (as required):
- Assisting with event setup and pack-down, including basic décor, signage placement, and material distribution.
- Providing support to event managers during events, which may include guest registration, ushering, or general problem-solving.
- Running errands related to event execution.
- Client and Supplier Communication:
- Drafting and sending out basic communications to clients and suppliers under the guidance of event managers.
- Acting as a point of contact for routine queries.
- Taking meeting minutes and distributing them as required.
- Inventory Management:
- Assisting with the organisation and maintenance of in-house event equipment, road cases and stationary
- Tracking inventory and identifying items needing replenishment or repair.
- Creative Support:
- Assisting with brainstorming event themes and concepts.
- Sourcing images and inspiration for client proposals and presentations.
- Basic graphic design tasks for internal documents or simple event collateral (e.g., name tags, basic signage) using templates.
Role Responsibilities – Office
· Oversee the overall smooth running of the Sydney office
· Be a part of the global Vibe Squad to oversee cultural initiatives and manage the execution of these initiatives
· Ensure basic levels of cleanliness and order are maintained
· Order office supplies and equipment as needed whilst keeping stock of all supplies within the office including stationery and food/snacks
· Manage Tuesday Take-Out for the team and Thursday Drinks
· Lead the organisation of staff and team activities
· Support the team with administrative tasks as required
· Oversee the stocking, packing and overall care of the Production Kit
· Greeting visitors and clients, offering refreshments, and ensuring a welcoming atmosphere.
· Handling incoming and outgoing mail, couriers, and deliveries.
· Assist with the organisational requirements of client meetings at the office

- Some travel may be required for on-site event delivery
- This role requires in office 5 days a week
