This Position Matters Because…
The Personal Assistant (PA) to the Head Promoter will play a crucial role in supporting the Head Promoter in managing their day-to-day responsibilities within the fast-paced and dynamic environment. This role requires strong organisational skills, discretion, communication and adaptability in an ever-changing environment. The PA will pre-empt, administrate and coordinate activities under the guidance of the Head Promoter and proactively schedule meetings, communicate non-complex messages and organise priorities. The position works closely with Promoters, Tour Coordinators, external parties and will demonstrate trust, confidentiality and professionalism at all times.
Key Accountabilities:
Promoter Support & Administration
- Managing and maintaining the Head Promoter’s calendar, travel and meeting schedule, including coordinating itineraries, logistics and key deadlines.
- Attend internal and external meetings and events to support the Head Promoter’s tours and industry commitments, capturing notes, decisions, actions and follow ups.
- Regularly travel with the Head Promoter domestically and potentially internationally, as required.
- Acting as the first point of contact for communications, screening calls, and prioritising urgent matters.
- Preparing correspondence, reports and materials as required.
- Non complex data entry.
- Booking and arranging travel including itineraries, flights, accommodation, and transportation.
- Support the Head Promoter in achieving work-life balance by prioritising and organising tasks.
Touring
- Assisting with the planning, coordination, and execution of music events, tours, and promotional campaigns.
- Liaising with artists, managers, venues, and other stakeholders on behalf of the Head Promoter.
- Monitoring deadlines and ensuring all milestones are met.
Relationship Management
- Build and maintain strong relationships with industry professionals, artists, and clients.
- Represent the Head Promoter professionally in meetings, events, and communications.
Capabilities, Qualifications and Experience
- Knowledge and understanding of the music industry (1-2 years experience).
- Strong organisation, planning, multitasking, and attention to detail skills.
- Strong customer service and relationship building skills.
- Advanced expertise in Microsoft Office Suite and Google Suite.
- Australian Work Rights.
- A valid driver’s licence (preferred).
