Primary Function of the Role: As the Wholesale Assistant it is your responsibility to keep on top of your varied workload and met deadlines to ensure all functions and tasks are executed. Acting as a representative of our agency, liaising with both internal and external parties in a professional and timely manner. Ensuring that you have an eye for detail, and as you will be supporting the creative brand content of our agency, ensuring this is always aligned with the Known Agency aesthetics and values. Your primary role is to support all aspects of the wholesale admin for brand managers, assisting

Direct Reports Senior Sales Manager, Global Sales Manager & Company Directors. Please note that this is an entry level role.

Skills Required: Intermediate to advance excel skills (super important!), punctual, able to multitask and work under pressure, good communication.


Wholesale Administration and Support:

Customer Service

  • Managing the Known Agency info inbox, replying, when necessary to all enquiries and filtering and forwarding emails to relevant team members.
  • Answering all emails in a timely manner.
  • Booking in couriers, and any logistics arrangements required across the wholesale team.
  • Reporting
  • Executing weekly brand sell thru reports to forward onto clients and relevant brand managers.
  • Analysing sell thru reports, making suggestions for both slow and fast sellers. Working alongside the brand
  • manager in actioning out requests accordingly.
  • Formatting and collating data for client strategy and end of season wholesale reporting.
  • Monitoring any sales incentive programs, checking in for sales updates.

Sales Market

  • Assisting with the wholesale appointment calendar, booking in appointments on behalf of the brand managers and liaising with stockists.
  • Creating the seasonal totals page, itinerary and showroom invites as well as collating brand information, such as order deadline, deliveries, order minimums etc from each brand manage.
  • Research New Business targets for Brands.
  • Creation of digital showroom assets page for all brands.
  • Responsible for wholesale sales assets mail out, to relevant database.
  • Order entry support.
  • Updating sales assets when for all brands when necessary and ensure all is uploaded in dropbox and brand assets pages.

• Assisting with appointment confirmations during and before sales market.

Account Assistance

  • Creating wholesale boards, payment trackers and sell through reports each season.
  • Assist with updating Client payment trackers.
  • Assist with formatting data and collating range plans.
  • Assisting with filling out retailer templates, RRP lists and other adhoc requests from retailers.
  • Creating images packages and training guidelines each season.
  • Circulating seasonal assets to all respective retailers.
  • Reaching out to buying teams to schedule in virtual trainings.
  • Checking all seasonal uploads, communicating changes with respective buying teams.
  • Checking retailers are abiding by client’s markdown calendars, and flagging with buying teams when they are not.
  • Distributing press releases, articles and relevant materials for clients to respective retailers.
  • Working with brand managers, on relevant Moda Operandi templates each season for delegated brands.
  • Ensuring the Known Agency wholesale database is kept up to date, as well as researching and updating new wholesale contacts.
  • Carrying our store visits, where relevant for domestic stores. Taking images, talking to sales staff about brand performance and merchandising.
