This Position Matters Because…
The Touring Finance Administrator is responsible for supporting the financial operations of all promotional tours and events by ensuring the accurate and timely processing of key administrative and accounting tasks. This includes maintaining tour job codes, processing supplier invoices and payments, managing receivables and banking transactions, completing compliance reporting, and assisting with forecasting and financial analysis. The role is essential in ensuring the smooth day-to-day functioning of the Touring Finance team. The position works closely with the Tour Accountant, Senior Tour Accountants and Head of Touring Finance, providing operational support, coordinating priorities and referring more complex matters for guidance and resolution. Critical to this position is the ability to manage multiple priorities in a fast-paced environment, maintain strong attention to detail, meet deadlines and build effective relationships with internal and external stakeholders.
Key Accountabilities
Tour Finance Administration
Provide accurate and timely financial services and processing pertaining to:
- Create job codes for all confirmed tours/events.
- Prepare and lodge quarterly Pollstar reports for all tours/events.
- Monitor the travel and accounts email inboxes and ensure emails are answered and/or distributed to the relevant person in a timely manner.
- Complete Supplier credit applications, as required.
Accounts Payable, Accounts Receivable & Banking
- Process multi-tour supplier invoices.
- Assist Tour Accountants with invoice data entry during high-volume periods (as required).
- Process Float requests ensuring all relevant documentation is received.
- Reconcile Supplier statements to ensure all invoices have been received and processed.
- Manage Trade Creditor payment runs (twice weekly) in line with credit terms and cash flow.
- Provide DAL bank details for payments to external persons.
- Raise and issue sales invoices, as requested.
- Monitor the Trade Debtors ledger and ensure all payments are received on time.
- Reconcile the bank account for all transactions relating to Touring Finance.
Financial Reporting
- Assist in preparing the overall tour forecasted P&Ls on a fortnightly basis.
- Support the Senior Leadership Team and Touring Finance team with ad hoc analysis and reporting.
- Prepare and lodge Superannuation for Contractors by the statutory due date.
- Ensure compliance with local tax laws and financial regulations.
Head of Touring Finance Support
- Managing and maintaining the Head of Touring Finance’s to-do list, including coordinating travel and key deadlines.
- Support the Head of Touring Finance by monitoring deadlines and ensuring key milestones are met.
- Assist the Head of Touring Finance with ad hoc financial tasks and projects.
Business Partnership & Advice
- Provide insights and suggestions on financial processes and data.
- Provide assistance in financial education to ensure financial systems, tour processes, databases and tools are adopted effectively.
Qualifications, Licences and Experience
- A relevant qualification in accounting and/or bookkeeping, finance or a related field.
- A good knowledge and understanding of the music industry (1-2 years experience).
- Sound knowledge of accounting principles and financial regulations.
- Proficiency in accounting software such as MYOB Advanced, or similar.
- Strong attention to detail.
- Ability to work in a fast-paced, dynamic environment and meet tight deadlines.
- Australian Work Rights.
- A valid driver’s licence (preferred but not essential).
