As Studio Traffic Coordinator, you will be part of the Studio Department and will be responsible for supporting the wider Studio team across Video, Design and Experiential for all Pedestrian Group products and titles.

The role spans across all our commercial properties including Pedestrian.TV, VICE, Refinery29, Business Insider, Openair Cinema, Gizmodo, Lifehacker, Kotaku and The Chainsaw. The role calls for a multidisciplinary approach, someone who can collaborate effectively with internal departments, a high attention to detail, and is keen to grow and develop into a Creative Operations focused role. 

We’re looking for a self-starter who’s not afraid to add to our creative culture, get their hands dirty, work autonomously and LEARN HEAPS!

The role reports to the Head of Studio Operations with the onus of keeping tabs on ensuring all campaigns are resourced appropriately, run smoothly and to agreed timings and budget. 

 

RESPONSIBILITIES:

STUDIO SCHEDULE MANAGEMENT AND MAINTENANCE

  • Liaise with producers and CPMs on all campaign timelines – factoring availability of internal studio resources including Editors/Shooters, Graphic Designers, Studio Access and gear.
  • Working with the Head of Studio Operations to review the commercial pipeline and efficiently forecast upcoming resourcing requirements and liaise with department heads to engage required freelancers.
  • Reactively adjust the schedule on a daily basis based on feedback from editors, producers, clients and CPM’s and current edit status/workload of the team.
  • Liaise directly with the Studio team to ensure they have access to all feedback docs, script links and resources they require to complete projects; proactively tracking down any materials that are missing.
  • Maintain freelancer, talent and location resource pool – ensuring that it is easily accessible to fellow Producers and Studio team. 
  • Acting as a key contact for all freelance resources and ensuring that they are onboarded to our tools, systems and workflows. 
  • Create studio docs and maintain them / update as required. 

FINANCE & STUDIO CONTRACTS:

  • Supporting the Head of Studio Operations to collate production spend forecast for next month per campaign to report back to Finance.
  • Provide administrative assistance to the Head of Studio Operations for end of month reconciliation and bi-monthly COS reporting. 
  • Working with Producers and the Head of Studio Operations to ensure that all freelance resources and talent are contracted and set up in Employment Hero correctly and are paid in a timely manner. 

STUDIO PROCESS, TOOLS & SYSTEMS:

  • Work directly with the Head of Studio Operations and other Department Leads to support in the creation and implementation of new systems and processes within the Studio and wider business. Providing support to document and educate the department on all new workflows. 
  • Continuously looking for new ways to improve and streamline processes and efficiency; proactively pitching ideas of ways we can improve. 
  • Act as a point of contact for the studio team for all things tech related and maintaining the studio’s server and provide general technical support concerning it.
  • Ensure that all edit suites and freelancers have access to the server either via physical hardware connection or via remote access; educating the team on best practise to file and log assets in the servers and feedback docs.

PRODUCTION ASSISTANCE: 

  • Providing support to the Video & Experiential team in pre-production and attending shoots and events to assist when required.
  • Liaising with Senior Videographers to ensure we have the correct gear and equipment available for upcoming shoots.
  • Ensuring all equipment and the studio is kept clean and orderly whilst not in use and broken gear is submitted for repair when needed.
