Electric Collective seeks a well rounded Office Manager to join our friendly creative team in this full-time role. This is an important role for our fast paced, dynamic agency with lots of variety and opportunities to experience the exciting world of our clients whilst contributing to the growth and success of the business.

Electric Collective represents a covetable roster of clients within fashion, beauty, hospitality, travel, music, people+planet, arts, and entertainment. 

The team is based in a beautiful office in the heart of Sydney’s leafy Surry Hills and are looking for someone with energy and a can-do attitude to support our professional and colourful team.

Aside from office administration, a significant part of this role is to work with the account teams and Press Office to compile timely and accurate reports on a daily basis, prepare end of month and end of project reports and budget reconciliations, and provide support and assistance to the Agency Directors

Reception and Office Management:

  • Be the first to greet clients and guests to the office and gifting suite
  • Prepare for client and supplier meetings, e.g., water, coffee, tea
  • Arrange and manage couriers/deliveries, post, and pickups
  • Maintain a general tidy office
  • Maintain general office supplies, e.g., ordering stationary/groceries/office supplies
  • Organise and assist with social events e.g., birthdays, client lunches, team building sessions, and social outings
  • Schedule meetings with suppliers, clients, and media
  • Book and manage any necessary tradespeople, suppliers, cleaners, graphic designers, and other utilities or services required for the maintenance and upkeep of the office
  • General assistant duties to the two Agency Directors
  • Provide ongoing assistance to the team as requested

Reporting and Procurement:

  • Coordinate with Accounts to reconcile post, courier, and disbursement costs monthly
  • Daily media monitoring, compiling, and sending editorial to clients with approval and input from the account teams and Press Office
  • Monthly report compiling and sending to clients and other stakeholders as required
  • Reporting on core agency efficiencies including KPIs, hours, and billables
  • Compiling decks and proposals with instruction
  • Booking and managing travel
  • Respond to requests for information
  • Keeping memberships and subscriptions up to date
  • Coordinating gifts, birthdays, end of year and thank you cards on behalf of Electric Collective
