Job Title: Executive Assistant to the Owner of Multiple Companies 

Type of Position: Full Time
Workdays: Mondays – Fridays (5x working days in office)
Office Working Hours: 9:00am – 5pm

Job Description:

  • Managing and organising calendars
  • Making travel arrangements and detailed itineraries
  • Answering phones, screening calls and directing to the appropriate person
  • Taking dictation at meetings and wrap up notes for next steps of action
  • Booking meeting rooms/calls and ordering lunches for meetings
  • General administration inclusive of filing, scanning documents, and maintenance of current database system across companies
  • Office management inclusive of booking in cleaners, groceries upkeep, staffing stationary upkeep and adhoc office duties
  • Assistance on emails and communications, answering requests promptly on behalf of Founder
  • Problem solving to a high degree 
  • Preparing relevant presentations, reports and proposals
  • Compiling market research information
  • Personal administration tasks for Founder inclusive of home management systems and occasional early childhood tasks
  • Participate with the teams across all companies, identifying collaborative opportunities that cross-over between departments
  • Cultivate strong relationships with key stakeholders across companies and solidify position as best point of contact to connect with Founder

Requirements:

  • Experience in a similar role 
  • Extremely detailed, organised and motivated 
  • Ability to balance the needs of different departments, companies and priorities within a deadline driven role
  • Experience in multi-tasking and problem-solving
  • Positive, creative, enthusiastic individual with superior planning and organisational skills
  • Possess a strong understanding of the tactical uses of core social media platforms and general business departments
  • Solid proficiency in Gmail, Google Docs, Google Calendar, Google Meets and Shopify 
  • Superb written skills
